What are organizational units?

In IMDS, the concept of organizational units was implemented in order to better structure companies registered in IMDS and to be able to send targeted information to individual organizational units. In this way it is possible, for example, to send material data sheets (MDS) directly to certain organizational units instead of to the whole company.

When structuring in organizational units, further IMDS IDs are created for the various organizational units in an enterprise under the existing IMDS ID:

 

 

 


Users can be assigned to one or more organizational units or IMDS accounts. Each user only receives the MDS for verification, which are sent to the units activated for him. After a supplier MDB has been accepted, it is available for every user in the company.

In companies that are not divided into organizational units, important functions of the IMDS may not be used due to the lack of structuring.

Example: The Messages Function
This function receives messages for the entire company. This means that messages that affect every MDS, every request, and every rejection are delivered to every user.
Since it can be too time-consuming for the user to filter out the information concerning him from the total amount of messages, this function is often not used.
However, if a user is only assigned to his organizational unit, messages can be sent directly to his IMDS ID and he only receives the information that is relevant to him.

Subdivide into organizational units:

  • You have the option of subdividing the dataset in your company ID according to projects, departments, locations, or product status such as development, series, and so on. This gives users the option to manage only the data for which they are responsible.
  • You can have the data checked by the users who are responsible for their areas. A user who checks the data in the inbox of his organizational unit knows that all data is intended for his area and can process it immediately. Even data that a supplier has sent incorrectly – for example, using an incorrect part number format – can be easily found in the inbox.
